Booking Terms

This website,, is the booking portal of Iceland Guest, which is owned and operated by Nordic Visitor Ehf., a fully licensed Icelandic travel agency located at Bíldshöfði 20, 110 Reykjavík, Iceland (registration no. 690405-0590). Both Iceland Guest and Nordic Visitor are fully authorized by the Icelandic Tourist Board.
The following booking conditions shall govern all bookings with Iceland Guest. In these booking conditions, “you” and “your” refers to persons named on the booking and “we”, “us” and “our” refers to Iceland Guest. Any booking made or order placed by you, whether through the company’s website or otherwise, shall be deemed as an offer by you to purchase the relevant package or other travel arrangement subject to these booking conditions.
No contract between you and Iceland Guest shall come into existence until we accept full payment and issues a confirmation invoice. The person who makes the booking accepts these conditions on behalf of all members of the traveling party and is responsible for all payment due from the party. Booking services with Iceland Guest are currently only available to persons who are at least 18 years old.
By submitting a booking, you warrant and confirm to us that you comply with these arrangements.
Booking and confirmation 
After booking a holiday package with Iceland Guest, you will be contacted by email within two working days by your designated travel consultant, who will assist with your booking and serve as your point of contact for any travel needs during your stay. The email will include the full name and direct contact information for your travel consultant along with details about your booking, payment and what to expect during your holiday. 
All prices for holiday packages on are listed in Euros. Likewise, all purchases are charged in Euros and all refunds are issued in Euros. Iceland Guest accepts no responsibility for any fluctuations in currency exchange rates that might occur from the time of a booking until a refund is issued.
Terms of payment
Iceland Guest accepts all major credit cards and electronic bank transfer.
American Express/Diners Club: Please note that American Express and Diners Club charge very high handling fees, and we regretfully must pass part of this fee – 3% of the total invoice – on to our customers.
Third-party credit cards: If your travel services are being paid for with a third-party credit card, we will require written authorization to be provided by the cardholder via fax or letter.
Bank transfers: If you wish to make an electronic bank transfer and need details of our bank account, please contact one of our travel consultants.

A deposit of 20% of the total package price shall be paid to Iceland Guest at the time of booking. The remaining payment is due no later than 60 days prior to arrival. For packages booked within 60 days or less prior to arrival, the full payment shall be made at the time of booking.

Please note that the remaining payments after deposit, we automatically charge the same credit card. If you wish to change cards for the remaining amount, please notify your travel consultant in writing as soon as possible. In the case of a delayed payment, Iceland Guest  reserves the right to treat this as a cancellation and to withdraw confirmation of the services.
In the event that we are unable to obtain confirmation from the supplier, an alternative will be offered. If you do not accept the alternative, or we are not able to offer an alternative, a full refund will be offered. You will be notified by your travel consultant of any relevant changes prior to issuing your confirmation invoice. If you do not accept the alternative offered, you must advise us in writing within seven days from the time you have received your full itinerary with details of all confirmed services and accommodations.
Travel documents 
For all bookings, we provide the following travel documents by email (as PDF documents):
- Pro-forma and confirmation invoices
- Booking overview with information about all your services in Iceland
- Vouchers for each of your services
- Full day-by-day itinerary
For car rental packages, we provide these additional materials:
- Map of Iceland with your route, accommodations and interesting highlights marked
- Information booklet about driving in Iceland
- Detailed itinerary including a list of optional activities and attractions as well as general information about travelling around Iceland
Delivery of travel documents
Travel documents will be delivered as follows:
- At time of deposit payment: you will receive the pro-forma invoice by email
- Within 30 days of deposit payment: you will receive the full itinerary by email
- At time of full payment: you will receive the confirmation invoice and all vouchers by email
Clients are responsible for printing vouchers and bringing them to Iceland.
For car rental packages, the road map and information booklet about driving in Iceland will be sent by post before your arrival*. Please note that we must use the billing address of the credit card holder as the shipping address. *If the package is booked less than one month in advance of departure, you will instead receive these items at your first accommodation in Reykjavík.
Iceland Guest does not accept responsibility for mislaid or lost documents.

Collecting your vehicle

A valid credit card is required by the car rental agency, and a credit card imprint will be taken at the time of vehicle collection for security reasons. Your voucher covers the cost of the rental, but the imprint may be used to deduct any extra charges due to use or damage of the vehicle.

Special offers — terms and conditions
The following terms and conditions apply to all special offers on our website in conjunction with our standard booking terms for all holiday packages:
- For new bookings only
- Not valid in combination with any other discounts or promotions
- Not valid for any package customizations, such as additional nights, optional activities or extra days with a rental car
- Discount will be deducted from the total price at time of booking
For all cancellations, Iceland Guest will make every effort to ensure you the best protection. However, late cancellation will result in compensation claims from hotels and other service providers. All cancellations must be sent to Iceland Guest in writing
Cancellation charges: Iceland Guest charges cancellation fees at a percentage of the total tour package price, as follows:
-    More than two weeks before scheduled tour arrival date: 20%*
-    Less than two weeks before scheduled tour arrival date: 50%*
-    Less than 72 hours before scheduled tour arrival date: 100%*
* Note that the cancellation terms and fees may be different  for certain travel packages and services, in which case the cancellation terms and fees are outlined on the package page.

We strongly recommend that our clients purchase comprehensive travel insurance to avoid dispute in case of cancellation.

Changes to bookings
All requests for changes to confirmed bookings must be made in writing from the person who submitted the booking at least four weeks prior to departure. An administration fee of up to EUR 25 will be charged to the credit card used for the original booking in addition to any additional supplier costs incurred by the change(s) requested.
Please note that while we do our best, requests for changes to bookings cannot usually be honored within two weeks or less prior to departure.
Transfers: A booking may be transferred from one party to another, provided that the new party upholds the conditions of the booking. An administration fee of up to EUR 25 will be charged for the transfer, and both parties must assume joint liability for this fee and any other costs that may be incurred to the booking. We kindly ask that you give us reasonable notice for transfer requests.
Validity of prices 
All rates quoted or shown in our tariffs include VAT and all other taxes. The rates are based on current prices and are subject to change without notice in the event of currency fluctuation, government taxes or any such cost increase that is beyond the control of Iceland Guest. Any eventual changes in rates will not be made without at least eight weeks’ notice.
After the final invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. Iceland Guest will absorb an amount equivalent to 5% of the total price. Any amount exceeding 5% will be charged, but should the surcharge exceed 10% the client will be entitled to cancel the booking for a full refund.
Iceland Guest reserves the right to correct pricing in the event that a booking is made on a package or service that is wrongly priced within the booking system or wrongly quoted by a representative. In such case, the client will be notified as soon as possible and may either opt to pay the difference of the corrected price or cancel the booking for a full refund in the same currency as the purchase was made. No other compensation will be paid and Iceland Guest shall have no further liability to the client after cancellation.
Iceland Guest claims no responsibility for any loss, damage, accident, injury, sickness or schedule change due to weather, strike or any other cause beyond our control. Iceland Guest acts in good faith, and cannot be held responsible for any agent, hotel, coach operator, airline, guide, restaurant or any other person’s or company’s acts, defaults or delays.
Iceland Guest reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In the case of any changes to flights (domestic and international), the customer is responsible for any additional costs incurred as a result of such changes (i.e., additional hotel nights, meals, transfers, etc.), at the time provided. Furthermore, all optional activities and day tours are undertaken at the client’s own risk. 
We strongly advise all clients to have comprehensive travel insurance to meet all contingencies. 
Iceland Guest aims to provide outstanding customer service and, in order to do so, we maintain strict quality monitoring. If, for any reason, you are dissatisfied with your vacation package, we want to hear about it. We recommend notifying us as soon as any incident arises. If you are unable to do so at the time, you must advise us in writing within 30 days of your return. Failure to do so may jeopardize your right to compensation.
